Circulation (Check In, Check Out, and Fines)

Student aides must be
individually trained on the circulation system by the librarian or assistant
librarian. Here are some reminders
on the basic operation of the system:
To check books IN:
1. Make sure the “check in” button is pressed.
2. Scan the barcode of the book under the barcode reader.
3. Check the screen to make sure the title of the book you scanned shows up.
4. If the barcode is not scanned because its beat-up, type the barcode in the correct space.
5. REMOVE DUE DATE cards from books and place on “to be shelved” cart.
To check books OUT:
1. Make sure the “check out” button is pushed.
2. Next to the blank spot for the barcode, click the icon with the little people on it.
3. Ask the student his/her name and type it in.
4. Their name will be highlighted on the list that appears. Select it.
5. Scan the book to be checked out.
6. Make sure the book title appears on screen!! Very important. If it doesn’t, the book isn’t checked out.
7. Place a due date card in the book.
8. If there is a beep and the message “overdue/block conditions” (or something similar) shows up, that means the student has an overdue or a fine. Click the “fines” button, and his/her fine will appear. If there are no fines, that means the person has an overdue book that has not been turned in. Inform him/her of the book.
9. If the student wants to pay, collect the money. WRITE the amount of the fine on the yellow sheet, turn in the money, and make change. On the computer, click “pay” and then on the next screen “save.”
10. If the student cannot pay the fine, he/she may still check out a book AS LONG AS he/she does not owe more than $5.
11. If the student does not believe he/she owes the fine, or is otherwise not agreeing with you, get the librarian or assistant librarian to handle the situation. DO NOT delete fines yourself.
12. If there is no fine, hand the book to the person and tell them when it is due. Remind them that the book checks out for two weeks and can be renewed for longer.
Renewals
1. Books may be renewed.
2. Click the “renewal” button.
3. Scan the book. Make sure the title shows up.
4. Put in a new card. Inform the patron of the new due date.
5. Collect fine if necessary.
